Legacy System
to Be Retired


Due to our new platform’s capabilities, the Paychoice Online Employer (PCOL) System and Shugo/MyFileGuardian sites will no longer be available for access, effective August 31, 2018. However, we will continue to archive seven years of historical payroll data. 

Clients will have until August 31 to access both systems and retrieve data for local storage, if you have not already done so. For clients who have been downloading to ViewChoice all along, the data was auto-archived in the ViewChoice software, and is accessible through the desktop icon on your PC. Shugo/MyFileGuardian users can download the .pdf files and save them on your PC/network.

To have your data on CD-ROM by year, please request one at any time. This CD-ROM will be for a specific year and will have that year’s reports/quarterlies/W2s on the CD. Each year should be ordered separately. The CD charge is based on the employee count on the W3 for that particular year.

The following is a breakdown for the charges:

•    1 to 25 employees: $90
•    26 to 50 employees: $115
•    51+ employees: $165

To request a CD-ROM, please download the "Year End CD Request Form" PDF from our website and email or fax it in.

If you have an accountant or bookkeeper who has access to these systems, please let them know about these changes, as well. And of course, don’t hesitate to contact us with any questions. Thank you for the continued opportunity to serve you. We hope you are enjoying our new platform!

Password Security Enhanced

The July 20 release of the HCM software update will require changing your password to enhance security. The increased complexity requirements will provide even more protection from password hacking.

•    Minimum password length will increase from 8 to 12 characters.
•    Passwords must include at least one of each of the following:
     - lower case letter
     - upper case letter
     - number (0-9)
     - special character
     - spaces are allowed 

Spaces allow for pass-phrases that are easier for the client to remember. Going forward, your password will not expire. Though if you do change your password, it may not repeat any of your previous 10 passwords. 

If an existing user does not change their password, it will expire one more time, and they will be asked to set a new 12-character password that will not expire.

Cook County IllinoisChicago and Cook County Raise Minimum Wage

Effective July 1, 2018, both Chicago and Cook County increased their minimum wage rates by $1. The new minimum wage for the City of Chicago is now $12 per hour and for Cook County, it is $11 per hour. Rates will continue to increase annually in July.
